Kirameki Guest Contract Agreement
Location: Kitahiroshima Town, Chūgoku Mountains, Japan
This Guest Agreement is entered into by Kirameki, a cultural revitalization initiative headquartered in Kitahiroshima, and the undersigned individual ("Guest") for the duration of their stay or program participation. By booking, the Guest agrees to uphold the mission and values of Kirameki by showing care for the natural environment, traditional spaces, Japanese rural customs, and the local community.
Check-in: 2:00 PM • Check-out: 2:00 PM (for overnight stays)
1. Guest Information Requirements
All guests must provide complete and accurate information during the booking process, including:
- Full name, phone number, and email address
- Gender and marital status
- Pet ownership status
- Any allergies or dietary restrictions
- Any disabilities or accessibility needs
- Emergency contact information with relationship and contact details
2. Code of Conduct
By staying with Kirameki, guests agree to respect the local community by:
- Abiding by Japanese law, cultural etiquette, and community standards
- Avoiding any behavior deemed disrespectful, intrusive, or disruptive to neighbors and other guests
- Refraining from filming, photographing, or sharing community events or individuals without explicit consent
- Respecting quiet hours: No social interaction between 10:00 PM and 9:00 AM
3. Space Use & House Harmony Guidelines
Upon Arrival
- Check-in is at 2:00 PM
- Review and follow posted instructions for heating/cooling, futon setup, and toilet systems
- Notify the host of any damages or malfunctions within the first 6 hours of arrival
During Stay
- Remove shoes indoors
- Maintain cleanliness in shared areas
- Clean what you use: includes dishes, tools, bathroom items
- Use your designated shelf and replace shared items after use
- Always ask before using someone else's belongings
- Separate trash per Japanese recycling regulations (guidelines posted)
- Meals together are optional: breakfast is solo, lunch/dinner can be social
- For overnight stays: inform others if you won't be home
- No pets unless explicitly permitted
Room Usage
- Fold up futons from the tatami floor every morning
- Tatami rooms and bedrooms are peaceful zones - keep them quiet and calm
Social Flow & Communication
- Weekly group check-ins (e.g., Mondays) to share and plan
- No behind-the-back conversations - address issues directly
- Everyone has a voice and leadership is shared - communicate directly
- Go with the flow - socializing is flexible and energy-based
Smoking Policy
- No cigarette smoking in indoor or shared spaces
- Use designated smoking areas only
- Never smoke near tatami rooms or the backyard
Wi-Fi Usage
- Wi-Fi access provided with login credentials upon arrival
- Use for basic communication and work purposes only
- Large file downloads, video game updates, or streaming on multiple devices are discouraged due to limited bandwidth
- Abuse of the Wi-Fi network may result in disconnection and revocation of stay
Departure Expectations
- Check-out is at 2:00 PM
- Return all borrowed items
- Fold and store futons
- Leave the room as originally found
- Stay extensions are not permissible due to the nature of the business
4. Liability for Damage
Guests are 100% liable for any damage caused due to misuse, negligence, or disregard for posted guidelines. A formal invoice will be issued and must be paid within 30 days.
5. Booking Terms & Refund Policy
Deposit Requirement
All program types require a $150 non-refundable deposit, which includes:
- Initial consultation and logistics planning
- Program overview and itinerary
- Reservation coordination and support
Full payment is due 1 week before the start of your program.
Refund Policy
- 75% refund if canceled 1 month before the program
- 50% refund if canceled 2 weeks before the program
- 0% refund if canceled less than 2 days before the program
By booking a program, you agree to these terms.
6. Communication Expectations & Business Boundaries
- Kirameki responds to new inquiries within 2 weeks
- All active bookings are responded to within 1 week of the program
- Communication is typically provided in the week leading up to the program with final reminders and preparation tips
- Please be respectful of reasonable response times - Kirameki is a small team, often running on-site events and community programs
7. Respect Toward Community, Interns, and Team
Guests are expected to treat local collaborators, interns, and the Kirameki founder (Kira) with kindness and respect. Inappropriate behavior, entitlement, or disrespect toward staff, volunteers, or the community may result in immediate removal from the program and future exclusion.
8. Contract Termination
Kirameki reserves the right to terminate the stay without refund if the Guest:
- Repeatedly breaks house or community rules
- Acts in ways deemed harmful to the space or local community
- Refuses to pay for damages or repair fees
The contract is automatically considered terminated in the event of a natural disaster (e.g., earthquake, landslide, flooding). Guests agree to waive claims for refunds due to emergency events.
9. Insurance and Liability
- Kirameki does not provide personal accident insurance or property protection insurance
- Guests are encouraged to carry travel insurance to cover personal health, belongings, and trip interruptions
- Kirameki is not responsible for accidents, injuries, or lost items during your stay
10. Consent, Pledge, and Acknowledgment
By booking with Kirameki, you acknowledge that you understand and agree to abide by all terms of this Agreement. You acknowledge that any failure to follow the above rules may result in early dismissal, additional fees, or permanent exclusion from Kirameki programs.
By completing your booking, you pledge to stick to the above guidelines, act in accordance with them, exercise proactiveness in determining cultural sensitivities that might not be stated above, and demonstrate overall positive behavior during your stay.
